WarrantyWorks (“we”, “us”) provides software that helps businesses prepare, submit and track product warranty claims. This policy explains what information we handle, why, and the choices you have.

Information we collect

  • Account information: your name (if provided), email address, password (stored only as a secure hash by our authentication provider), and your organization's name and industries.
  • Claim information you provide: product photos, product details and identifiers (such as model, serial, VIN or lot numbers), purchase and failure dates, failure descriptions, and — if you add them — your end customer's name, email and phone number.
  • Warranty correspondence: emails sent to and received from manufacturers, distributors and retailers about your claims, including replies that arrive at your claim reply addresses.
  • Technical information: logs needed to operate and secure the service, such as request times and error details, and an activity history for each claim.

How we use it

  • To provide the service: reading product labels, building claims, emailing warranty contacts on your organization's behalf, interpreting replies, following up, and showing claim status to your team.
  • To secure the service, prevent abuse, and troubleshoot problems.
  • To communicate with you about your account and the service.

We do not sell your information, and we do not use it for advertising.

Automated processing

WarrantyWorks uses AI models to read product photos and to interpret warranty emails. These interpretations can be wrong. The service is designed so that uncertain results are flagged for a person, and your organization can review, correct, or pause automated actions at any time.

Service providers

We use trusted providers to run WarrantyWorks. They process information only on our instructions:

  • Supabase — database, authentication and file storage.
  • Vercel — application hosting.
  • OpenAI — AI analysis of product photos and warranty emails, under its API terms.
  • Resend — sending and receiving claim emails.

When we email a warranty claim, its contents (including any end-customer details you added) are shared with the recipient you or your organization designated, such as a manufacturer's warranty department.

Access within your organization

Claims, photos and correspondence are visible to members of your organization and are isolated from other organizations. Product photos are stored privately and shared through time-limited links, including links included in claims you send.

Retention and deletion

We keep your information while your account is active and as needed to provide the service. You can ask us to delete your account and organization data by contacting us; we will do so unless we must keep certain records to meet legal obligations.

Security

We use encryption in transit, access controls enforced at the database level, and private file storage. No system is perfectly secure, so please use a strong, unique password.

Your choices and rights

Depending on where you live, you may have rights to access, correct, delete or export your personal information. Organization members can export their claims at any time. To make a request, contact us at the address below.

Changes

We may update this policy. We will post the new version here and update the date above.
